This comparison covers seven providers, what each one actually charges, where each one fits, and the cases where a competitor is the better answer than we are.

What Is an Online Bookkeeping Service

An online bookkeeping service records your financial activity every month without anyone coming to your office. Bank and card feeds are connected once, transactions are categorized against your chart of accounts, accounts are reconciled to their statements, and you receive a profit and loss statement and balance sheet at the end of the period.

What you are really buying is a closed month. The value is not the software licence, it is that somebody is accountable for the books being right, for the reconciliations tying out, and for the year-end file your tax preparer works from being something they can actually file.

This is where the category gets confusing, because two very different products sit under the same search term. Digits and Puzzle sell accounting software with heavy automation, and you or your accountant still drive it. Bench, Zeni, QuickBooks Live and Pelcro sell a service where somebody else does the work. Pilot sells both, which is the single easiest mistake to make when comparing prices. Comparing a $25 software subscription against a $399 service is not a like-for-like comparison, and any article that puts them in the same column without saying so is misleading you.

How to compare online bookkeeping services

Five things separate these providers, and price is only one of them.

Who is accountable. With software, the answer is you. With a service, somebody else signs their name to the close. That single distinction explains most of the price gap in the table above, and it is the first thing to settle before you compare numbers at all.

What the price is actually based on. Bench and Zeni publish flat tiers. QuickBooks Live bands its pricing by monthly expense volume, and Pilot caps its $99 tier at $100,000 of monthly expenses, which means the published figure is a floor that moves as you grow. A flat tier is easier to budget against, an expense band is easier to outgrow.

Whether catch-up is included. Almost nobody publishes a catch-up rate, and back months are where a cheap monthly quote turns into an expensive first year. Ask for the catch-up figure and the monthly figure together.

Who owns the ledger. Some providers work inside your own QuickBooks Online or Xero file. Others keep the books in their own system, which is fine until you leave and discover the history is harder to take with you than you assumed. Ask what happens to the file if you cancel.

Whether a review layer exists. Automation is now good enough to do the first pass almost everywhere, including at the software-only vendors. What differs between online bookkeeping services is whether a qualified person checks the output before it becomes your financial statements, and whether that check is included or sold as an upgrade.

Bench

Bench sells human bookkeeping in three tiers: Bookkeeping Grow at $199 a month for businesses under $250,000 in annual revenue, Bookkeeping Core at $399, and Core plus Tax at $599 which adds income tax filing for the business and the owner. Annual billing takes 20% off. There is also a QuickBooks-certified bookkeeper option at $55 an hour with a $1,200 onboarding fee.

Bench fits you best if you want bookkeeping and tax filing from one vendor and you would rather not coordinate between a bookkeeper and a separate tax preparer. The Core plus Tax tier is a genuinely convenient bundle and we do not offer an equivalent.

Pilot

Pilot publishes two products and they are easy to confuse. Essentials is $99 a month, capped at $100,000 in monthly expenses, and it is self-serve: Pilot's own pricing page describes it as AI that categorizes transactions, reconciles accounts and closes the books monthly, with no bookkeeper attached. The Core plan is where a person appears, described as a US-based bookkeeper who handles, explains and reviews your books, and Core carries no published price.

That distinction matters more than the number. The $99 headline is the cheapest thing in this comparison that calls itself bookkeeping, but it is software, so comparing it against a staffed monthly close is the exact mistake this article warned about two sections ago. If you want Pilot with a bookkeeper on it, you are in a sales conversation and we cannot tell you what it costs.

Pilot fits you best if you are a venture-backed startup that wants finance, tax and CFO support from one vendor as you scale, and its tax and CFO plans are priced accordingly. If you want the $99 number specifically, understand that you are buying a tool and the accountability for the books stays with you.

Zeni

Zeni is the most expensive service here, starting at $494 a month for its Starter plan and $719 for Growth, both billed annually with a 10% annual discount. The price buys more than bookkeeping: a dedicated finance team, AI bill payments, reimbursements and business checking sit inside the same product, and fractional CFO services are available separately from $1,599 a month.

Zeni suits a funded startup that wants a finance function rather than a bookkeeper. If you need cash management, bill pay and CFO-level reporting in one place and the budget is there, the bundle is coherent. If you only need the books closed, you are paying for a lot of surface area you will not use.

Digits

Digits is software, not a service. Essentials is $65 a month, Core is $100 and Pro is $250, and the platform runs AI agents for categorization, reconciliation and quality review. There is a separate per-client pricing model for accounting firms.

Digits fits you if you already have an accountant or a competent finance person and you want to give them better tooling. Nobody at Digits is accountable for your close. If you were hoping to hand the whole job over, this is not that product, and its price should not be compared against a service price.

Puzzle

Puzzle is also software. On annual billing it runs $25 a month for Starter, $60 for Core, $100 for Complete and $300 for Scale, with monthly billing at $30, $72, $120 and $360 respectively. There is a 14-day trial of the Complete plan.

Puzzle is the cheapest thing in this comparison by a wide margin, and for a founder who is comfortable in a ledger and wants automation rather than a person, it is a reasonable place to start. Same caveat as Digits: you are buying a tool, and the accountability for the numbers stays with you.

QuickBooks Live

Intuit publishes two options. Expert Assisted is $59 a month and gives you access to bookkeepers who answer questions while you keep managing your own books. Expert Full Service Bookkeeping starts at $300 a month after an initial cleanup fee, with ongoing pricing based on your average expenses in QuickBooks.

QuickBooks Live fits you if you are already deep in QuickBooks Online and want the service inside the tool you use, with one vendor and one bill. Note the structure carefully: the cleanup fee comes first and the monthly figure is a starting price that moves with your expense volume, so the number you are quoted may not be the number on the page.
