Small business bookkeeping is the same handful of jobs every month: get every transaction categorized, reconcile the bank and card accounts against the statements, chase the receipts that back up the deductions, keep payables and receivables current, post payroll, and close the month so the profit and loss actually means something. Done by hand it is a few days of somebody's time. Done by AI with a CPA checking the result, it is a fixed monthly fee.

The difference between outsourced bookkeeping services that work and ones that don't is usually timing. Books closed a quarter late tell you what already happened; books closed by the 10th tell you what to do about it. Because the processing runs continuously rather than in a month-end batch, your close date does not move when the volume does.

You keep your own ledger. We work inside your QuickBooks Online or Xero file rather than migrating you onto something proprietary, and if you leave, the file, the history and the reports go with you. If you are still on spreadsheets, setting up the ledger is part of onboarding.

Frequently asked questions

Do I need a bookkeeper or an accountant?
Most small businesses need both, and they do different jobs. A bookkeeper records what happened — categorizing transactions, reconciling accounts, chasing receipts, closing the month. An accountant interprets it: tax strategy, filings, structuring, advice. The usual failure is paying accountant rates for bookkeeping work. Our packages do the bookkeeping with AI and have a licensed CPA review and sign off on the close, so the record is accountant-grade without accountant hourly rates. If you already have a tax accountant, we hand them a year-end package they can file from.
How much do bookkeeping services cost?
Ours start at $149 a month for up to 100 transactions, $299 for up to 400 transactions with AP and AR, and $499 for unlimited transactions including payroll. There is no setup fee and no annual contract. Traditional firms price the same monthly close at roughly double, because a person does the data entry that our AI does; the CPA time you are actually paying for is the review, which we keep.
Is AI bookkeeping accurate?
Accurate enough to do the first pass, not accurate enough to be trusted alone — which is exactly how we use it. The AI categorizes transactions, matches receipts to charges and reconciles accounts, then every close goes to a licensed CPA who reviews the ledger and signs off before it is finalized. Deterministic checks run first: the books have to balance, reconciliations have to tie to the statement, and anything ambiguous is flagged for a human rather than guessed. You are never looking at numbers a model produced and nobody checked.
What is included in monthly bookkeeping services?
Every package includes bank and credit card reconciliation, transaction categorization against your chart of accounts, a monthly profit and loss statement, a balance sheet, and CPA sign-off. Growth adds accounts payable and receivable, receipt capture with an audit trail, and a cash-flow statement. Full-service adds payroll runs and filings, a quarterly CPA call, and a year-end package for your tax preparer.
Can you clean up books that are months or years behind?
Yes. Catch-up work is quoted separately from the monthly package because it depends on how many months are open and what state the records are in. Send us the period you need cleaned up in the quote form and we will price the catch-up and the ongoing close together, so you know the full cost before you commit to either.
Do you work with QuickBooks and Xero?
Yes — QuickBooks Online and Xero are both supported, and we work inside your existing file rather than migrating you onto something proprietary. If you are currently on spreadsheets, we will set up the ledger as part of onboarding. Your data stays yours: cancel and you keep the file, the history and the reports.
